The key to getting rid of this unpleasant feeling lies in the ability to prioritize correctly.
There is a proven tool for this – the Eisenhower matrix. Its essence is simple – categorize tasks into 4 groups according to two parameters: urgency and importance. When combined with ChatGPT, it gets a second wind!
Use the following prompt:
Use an Eisenhower matrix to sort the following tasks [LIST TASKS]. Determine for each task its urgency and importance, categorizing them into four categories:
1. Urgent and Important (Tasks for immediate completion):

Use the Eisenhower matrix to sort the following tasks: write a content plan for publishing posts on Telegram for a week, revise an article, fulfill an urgent task from a customer, contact equipment suppliers, send a parcel by mail. (And the rest of the text according to the example above.)
Using the Eisenhower matrix, let’s categorize and plan for each of your tasks:
1. Urgent and Important (Tasks for Immediate Completion)
- Task: Fulfill an urgent task from a customer.
- Actions/Plan: Prioritize this task above all others. Clarify requirements and deadlines with the customer. Allocate dedicated time and possibly additional resources to ensure timely completion. This task might require reprioritizing your day or week to focus on it.
2. Non-urgent but Important (Tasks for Planning)
- Task: Write a content plan for publishing posts on Telegram for a week.
- Actions/Plan: Schedule a specific time to plan this, perhaps after completing the urgent task. It’s important for maintaining a consistent online presence but doesn’t require immediate action. Tools like content calendars or scheduling apps might be useful for planning and organizing.
3. Urgent but Not Important (Tasks to Delegate)
- Task: Send a parcel by mail.
- Actions/Plan: This is a task that needs to be done soon but might not be the best use of your time. Consider delegating it to an assistant or use a courier service that can pick up and deliver the parcel on your behalf.
4. Non-urgent and Unimportant (Tasks to Defer or Eliminate)
- Task: Revise an article, Contact equipment suppliers.
- Actions/Plan: These tasks can be deferred. Schedule the article revision for a later date when other more pressing tasks are completed. Similarly, contacting equipment suppliers can wait unless it’s critical for an ongoing project. Assess whether these tasks can be scheduled for a later date or even eliminated if they don’t contribute to your key goals.
Resources or Changes in Prioritization
- For urgent tasks: Focus on time management and immediate action. Reduce distractions and possibly extend your work hours if necessary.
- For important tasks: Plan strategically, allocate specific time slots in your calendar.
- For delegable tasks: Utilize team members, assistants, or external services to handle these tasks.
- For deferrable tasks: Assess their relevance periodically and schedule them in your low-priority time slots.
By categorizing tasks in this manner and planning accordingly, you’ll be able to manage your workload more effectively and focus on what’s truly important and urgent.
